To manage the reception area as well as ad hoc admin related task for the Facilities department. Key Responsibilities Answer and Manager the switchbaord and take accirate and detailed messages for disctribution to the relevant staff member Meet and greet customers Manage and distribute incoming and outgoing parcels Ordering / managing office refreshments for meetings To ensure the cleaning standards in reception as well as around the office are being met To ensure the meeting rooms are always clean and up to standard, as well as managing the signing in and out of various IT equipment for the show/meeting rooms which are kept in reception To assist the F&S Manager in purchasing required items for the office To provide necessary support to all employees regarding office queries e.g. office supplies, Stationery, office space, fleet, IT equipment (in cooperation with IT) Ensure the showrooms and meeting rooms have being set up properly for all scheduled meetings Processing of Purchase Orders for the Facilities and Services as well as Finance Department Overflow tasks to manage in the absence of the other receptionist Arrange gift and flowers on behalf of the company for staff Managing the announcements on alive yammer for the F&S dept eg: lunch specials, office alerts, baby announcements Manage office maintenance request logged via the log sheet and ensure the follow through is complete Liasing with landlords and vendors for any facility / maintenance and repair issues To assit the F & S Manager , HR Manager and PA to MD with Coordination of office events Oversee internal catering and staff lunches Assist F & S Manager with ad hoc admin To maintain archive if documents related to Facilities & Services Assist onboarding of new staff with regards to access cards, parking if needed and a stationery starter pack as well as supporting with the onboarding process by menas of cacelling access cards and parking bays Booking / Blocking meeting rooms on an ad hoc basis Managing the external cleaning staff rosters and duties Key Relationships Regional Office Supervisor (JHB & DBN) * Local F&S Manager Receptionist PA to MD HR Manager Snr Finance Director * Switchboard experience Effective communication skills Good composure and confidence Customer Focused Good planning and organsational skills Excellent time management Speed in execution Strong interpersonal and active listening skills and must have the ability to interact at the highest levels Team player Proficiency in MS Office Outlook Word Excel Power Point Requisite Education and Experience / Minimum Qualifications Matric with some business qualifications Excellent oral and written knowledge of the English language Previous reception experience within a multicultural, high performance, speed driven environment... - Permanent - Full-time
