Headhunters - Hanover, Northern Cape - Eastern Cape - A dynamic and leading company with a recognizable brand in the Agricultural Industry is currently looking to employ an Admin Clerk, to be based in the quaint town of Hanover (Eastern Cape). Applicants must be (1) living in the Hanover area, (2) willing to relocate to the Hanover area (full motivation required). (Hanover is located between Graaff Reinet and Colesberg) MAIN PURPOSE: The Admin Clerk is responsible for the administrative functions of the forecourt and convenience store. Determine stock needs. Interact positively with vendors and customers. Monitor the receiving of goods. Maintain inventory. Minimise waste and spillage. MINIMUM REQUIREMENTS: Grade 12 / Matric 1 Year's administrative experience in forecourts Computer Literate in MS Office Strong Administrative Skills Strong Communication and Interpersonal Skills The ability to handle multiple tasks simultaneously KEY PERFORMANCE AREAS: Administration: Wages: Process employees' hours worked and send to HR. Personnel Rosters: Schedule employees' shifts and put on roster. Wet Stock: Take dips and pump readings and check whether it corresponds. Manage “end of days” daily by balancing the cash, cards, accounts, EFT payment with payment report. Report any discrepancies to Management. Card Recons: Take daily card slips and put on spreadsheet. Email all invoices to suppliers and ensure that payments are received. Balance sleepovers of trucks daily. Process truck companies' invoices daily and send to the relevant company. Send proof of all payments received from clients to Head Office. Handle and balance Petty Cash. ATM - responsible for loading of cash received at end of days. Responsible for balancing the ATM every month. Reconcile the deposits received daily for Fidelity to collect. Finance recon must balance with deposit slip. Be vigilant and ensure that the offices are closed. Monitor cost and expenses within the Forecourt to ensure that the forecourt runs profitable. Ensure that all administrative operations are running according to policies and regulations. Customer Service: Greet customers and ascertain customer needs. Answering of telephone. Build up customer base. Provide regular feedback to customers. Solving of queries and ensure that queries are answered timeously. Finance: Banking: Counting shift's cash, write in bank book and get money ready to bank. Petty Cash Recons: Sort petty cash purchases, do recon and send to creditors. Balancing Shifts: Check SP point slips and cash to ensure that the shift's workers do not short fuel or money. Syspro Booking Shifts: Book shifts and do point of sale at the end of the day. Managing Convenience Store: Ensure that the shop is clean and tidy at the end of each shift. Manage cost control and administration of shop. Manage stocktaking daily, weekly and monthly to minimise stock loss. Assist with ordering, receiving, processing and merchandising of all convenience store stock. Process requisition for stock and send to head office that sufficient stock can be ordered on time. Complete all required administration of all assets and stock at all times. Ensure that stock is managed effectively and efficiently to minimise stock loss. Responsible for all merchandizing and inventory control. Manage store's budgeted sales goals. Credit Control: Ensure that correct application of credit control measures is implemented within the branch to stimulate sales without bad debts. Health and Safety: Responsible for complying with H&S standards. Ensure that the site and forecourt / convenience stores area adhere to a healthy and a safe work environment.
